As a Business Administration Assistant you will carry out all of the customer service activities and administration assigned to you in a busy sales and production office. You will assist senior managers in ensuring quality of service to new and existing customers from first enquiry to shipment of their order. You will be required to qualify sales leads, take initial sales enquiries and assist in preparing quotations. Successful candidates will be naturally outgoing, be tactful, confident in their verbal communication skills, have excellent verbal and written skills, demonstrate excellent attention to detail and good numeracy.

Specific customer service and administration activities you will be expected to learn and carry out may vary in response to changing business needs and include:

  • Acting as telephonist/receptionist for all incoming calls, logging and screening calls, passing on calls and taking messages as appropriate;
  • Taking customer orders and enquiries over the phone, qualifying sales leads;
  • Assisting in dealing with correspondence and responding to customer enquiries and complaints;
  • Handling incoming and outgoing post, arranging couriers as required;
  • Assisting in preparing quotations in response to customer enquiries;
  • Maintaining Customer Relationship Management (CRM) database;
  • Communicating with customers regarding the progress of their orders and future needs;
  • Assisting Managers in preparing reports and materials for projects and meetings;
  • Assisting in dealing with correspondence and responding to complaints;
  • Assisting in sales order entry, data entry and job sheet issuing on our computer based manufacturing control system (in-house training provided);
  • Assisting in production of delivery documents and invoices;
  • Arranging shipment of samples to customers;
  • Arranging couriers as required;
  • Assisting in maintaining stock records and production of stock reports;
  • Assisting in accounts administration
  • Assisting in payroll administration
  • Assisting in purchase order administration
  • Assisting in maintaining HR records accurately and efficiently;
  • Assisting in maintaining efficient filing systems in accordance with company policies and procedures;
  • Liaising with managers and other employees in the efficient and accurate execution of your duties;
  • Using a range of office software, including email, spreadsheets and databases;
  • Promoting all company policies;
  • Implementing and promoting health and safety policies and ensuring they are observed;
  • Maintaining confidentiality regarding business and financial affairs;
  • Liaising with customers in the fulfillment of your duties;
  • Complying with company audit requirements, activities, procedures and processes;
  • Carrying out other administrative duties as required;




Skills and aptitudes

·          Confidence with and willingness to use IT in your work

·          Good IT Skills including Word, Excel & PowerPoint

·          Excellent written & oral communication skills

·          Negotiation skills


  • Knowledge of using Word & Excel in an admin environment
  • Knowledge of using MRP systems such as SAP or similar


·          4 GCSEs or equivalent at Grades A-C including English Language and Mathematics

·          5 GCSEs or equivalent at Grades A-C including English Language and Mathematics

·          Accounting qualification


·          Experience in a working office environment

·          Experience in dealing with members of the public

·          Experience liaising with supplier and customer accounts departments
